AK Manager PMS — New User Guide

Quickstart + day-to-day operations

1. Getting Started — Logging In

Your Property Admin will give you three login credentials:

  • Property Code — Example: AKM-DEMO
  • Username
  • Password — Temporary password you'll change at first login

Enter these on the login screen to access your property dashboard.

Dashboard

Overview
  • Key Metrics: Total Rooms, Occupied Rooms, Today's Revenue, etc.
  • Arrivals & Departures: One‑click Check‑In / Check‑Out actions.
  • Quick Add (AI): Use natural language to create bookings fast.

Bookings — The Heart of the PMS

Manage reservations, availability and room assignments here.

Create a Booking — quick steps:
  • Bookings → New Booking
  • Select or add a customer
  • Pick dates & times — system shows available rooms
  • Select rooms and enter guest names
  • Save — booking + folio (invoice) created automatically

Check‑In & Check‑Out

Check‑In

Open Dashboard → Today's Arrivals or find booking → Click Check‑In.

Check‑Out

  1. Find booking in Departures or Bookings list
  2. Click Checkout & Settle
  3. Collect any remaining balance on the invoice

Customers — Guest Management

  • Add Client to create a new guest profile
  • Scan ID to Autofill: Upload ID photo and AI will extract details
  • View guest history: bookings, invoices and wallet activity

Invoices & Payments

  • Manage Folio from a booking to view invoices
  • Collect Payment — Cash, UPI, Card, Bank Transfer, Wallet
  • Share secure Payment Link or print GST‑compliant invoice

Receipts & Vouchers

  • Receipts — For non‑booking payments (merchandise, services)
  • Vouchers — Create Proforma Invoices and Advance Receipts

Add‑Ons Enabled for Your Property

Food POS

  • Select Table → Add menu items → Print KOT → Settle bill

Housekeeping

Live task board for room cleaning statuses (Pending / In Progress / Completed).

Lock Management & Hardware Integration

  • Lock Operations Dashboard: Real‑time status per room
  • Issue Keycard: For arrivals — place blank card on encoder, confirm details and the system programs the card and checks the guest in
  • Function Cards: Checkout / Lock Room / Maintenance cards (simulate via hardware)

Wallet System

  • View and manage guest wallet balance in customer profile
  • Credit/Debit with description from Wallet History modal
  • Use Wallet balance when collecting invoice payments

AI Assistant & Revenue Management

  • AI Assistant: Ask how‑to questions about the PMS
  • Revenue Management (RMaaS): Enter event details → AI suggests optimized rates

Troubleshooting & Tips

  • If lock writes fail, check the encoder, card placement, and DLL logs.
  • Rotate API keys from Property → API Access if a key may be compromised.
  • For DLL architecture issues, ensure Node is 32‑bit if vendor DLL is 32‑bit.
